Program Administrative Assistant

The Program Administrative Assistant is responsible for assisting Serra Center Administrative office staff and program staff with a variety of day-to-day operational and administrative functions.  The duties are primarily conducted in an office environment or at the various Intermediate Care Facility (ICF) Home sites which require 6-12 miles travel round-trip.

DUTIES AND RESPONSIBILITIES:
  • Screen mail, faxes, phone calls and visitors and refer to appropriate personnel.  Manage highly sensitive, confidential information with the highest level of discretion.
  • Assist Program Supervisors with processing required documentation 
  • Assist ICF home QIDP’s with filing required documentation at the home site. 
  • Order office supplies, initiate, renew and maintain subscriptions and warranties. 
  • Maintain and update agency filing systems; organize, file and scan documents.
  • Act as a liaison with partnering agencies. Facilitate and coordinate participation in internal and external programs/activities.
  • Prepare and collate materials for meetings, trainings, and licensing reviews, audits and visits. 
  • Maintain and update agency contact lists. Compose and maintain routine agency correspondence.
  • Facilitate routine and required maintenance of office equipment.
  • Facilitate routine and required maintenance related to the Intermediate Care Facility (ICF) homes and agency vehicles.
  • Perform routine safety inspections of the Intermediate Care Homes. 
  • Provide staffing support to Program Supervisors as required. 
  • Other duties as assigned by Administrative Staff/Supervisor.
EDUCATION/EXPERIENCE:
  1. Post high school education and prior administrative support work preferred. 
  2. Strong computer skills, to include proficiency with Microsoft Office.  
  3. Valid CA Driver’s License, clean driving record and a reliable, insured vehicle.
  4. Department of Justice (DOJ) fingerprint clearance, pre-employment Physical & TB Test.
