IT Project Coordinator

The COE leads the Corporate Health and Medical Services group to define and develop the clinical standards, best practices, guidelines, and procedures in order to build Company’s capability to optimize the health of its employees and its business environments globally.

This position is dedicated to the Center of Excellence function, within the global Health and Medical department, serving as a Project Coordinator and also providing cross-functional administrative support to the CoE and the Corp. Health & Medical Global Administration team. This individual must have strong organizational skills and computer skills including Microsoft Word, PowerPoint, Outlook, etc., with advanced skills in SharePoint. As the COE includes team members with a large commitment to travel, they also must be able to effectively work remotely with the team when circumstances dictate. It is also important to recognize that the customers and clients are globally distributed – so will require flexible and collaborative responses.

Project Coordination and Support 
  • Supports global deployment and implementation activities for the CoE Electronic Medical Record Project.
  • Supports tracking activities based on project plans for the Center of Excellence. 
  • Develops and maintains CoE SharePoint sites.
  • Provides support in maintaining CoE web & training materials.
  • Coordinates project level team meetings.
  • Assists with the development of presentations and meeting content as needed.
  • Supports management meetings including DRB and Senior Leadership engagement meetings.
  • Provides support in maintaining the GO-308 repository and EMR mailboxes.
Administrative Support
  • Provides administrative support to all positions within the COE
  • Scheduling appointments for other COE team members.
  • Providing general office support: copying, scanning, faxing, mailing and filing documents. 
  • Scheduling travel logistics for team members.
  • Responds to correspondence and inquiries (phone e-mail, letter).
  • Maintaining general correspondence files.
  • Coordinates meeting logistics (conference room, catering coordination and scheduling).
  • Prepares reports and presentations.
  • Processes bills, check requests and purchase orders.
  • Mail outs and Mail distribution
  • Provides administrative support to the Fitness for Duty Process advisor for FFD process implementation, FCE trainings, maintenance of the GO-308 repository and FFD SharePoint sites.
  • Provides administrative support to the Associate Manager – Global Medical Surveillance for OH Process – Medical Surveillance Program activities.
  • Provides administrative support to Corp H&M Global Administration to cover other administrative positions as needed on an ad hoc basis.
  • Special Event Coordination and Oversight
  • Provides project and special event support to Corp. Health and Medical, Global Public Health, and Special Project groups.
  • Provides coordination of all CoE special events.
  • Coordinate global meetings and conferences including CoE Business Planning meeting, Corp. H&M staff meetings, Functional Team Lead meetings, and other external conferences or meetings as assigned.
  • Supports, develops, and coordinates special project planning tools.
  • Maintains Contracts, Agreements and relationships with vendors.
Required Qualifications
  • Advanced SharePoint skills
  • 3 years of project coordination and support experience
