Business Analyst/Administrator

Location: San Ramon, CA
Contract Duration: 12 Months to start

Position reports to Program Manager who Manages the PMO for the Contingent Labor Management (CLM) project and supports the enterprise implementation of Fieldglass across multiple Business Unit’s.

Travel: Some domestic travel may be required

Administrator functions including

  • Liaising with key Business Unit (BU) Administrator / Middle Office personnel as and when required in support of the performance of their role and reporting requirements
  • Supporting BU’s in the establishment of real time reports to enable supplier management activities and reporting to management on the use/costs of contingent. This would include establishing reporting templates designed to meet BU’s specific needs that can be leveraged by other BU’s, e.g. reporting of exceptions
  • Support in the uploading and management of master enterprise wide data and BU specific master data into the system, e.g. revision of rate bands for International Master Agreements (IMA’s), establishment of new supplier’s contract terms enterprise wide. Support local Administrators in the uploading of contract terms for local suppliers where required. 
  • Identifying, monitoring, and reporting program exceptions
  • Administering governance processes established to augment job classifications in the VMS with additional roles where current classifications do not adequately represent roles currently being performed. 
  • Supporting the Program Manager with system upgrades/request for change approvals including supporting testing and rollout of new/changed functionality.
  • Liaising with, when required, key groups supporting the Application Support Model, including, Global IT SCM Technology (Level 2 support), ITC PAD (level 3 support) 
  • Support, where required, in the adding, deleting, suspension of suppliers as directed by Global Category Managers
Project / Change Management work related to:
  • Support the Program Manager in the simplification and standardization of business processes, procedures and policies associated with the requisition to payment process of contingent labor resource management including:-
  • Updating rate bands 
  • Standardization of on/off boarding processes, accommodating BU specific nuances required by law or location to cover Fitness For Duty, Background clearance checks, etc
  • Changes regarding ongoing improvements in standardized processes, tools, technology, or broadening of types of engagements to be managed via the VMS (SOW’s);
  • Support communication of process/policy updates, VMS updates and support any associated training where required.
  • Support Program Manager with Contingent Management Leadership Council Initiatives
Describe any unique complexity that should be considered when evaluating this position: 

The individual to be successful in this role must be very processed/systems focused (ideally with a IT/Project Management background potentially with some Lean Sigma exposure) and have a good understanding of the staff augmentation procurement to pay (P2P) process. They must have an understanding of integration touch points of a VMS with other procurement to payment /ERP systems (such as Ariba/JD Edwards/SAP)
